The right person. A ready business?

You have found the right person. The desk is waiting. But is your business ready for their first day? In Albania, a good hire starts before anyone opens their laptop.

Meet a business making its first hire

Imagine a small company in Tirana hiring its first project coordinator. The founder has agreed a salary and a Monday start. Now five things need to come together: the contract, registration, payroll, working conditions and permission to work.

Put the agreement in writing

Prepare a written employment agreement that fits the role. Set out the duties, workplace, start date, pay, hours, leave and notice terms. An indefinite contract is the normal starting point; a fixed term needs objective justification.

Probation is still employment

A probation period is still paid employment. It is not a free trial or a reason to postpone registration. Check which probation rules apply, and document the terms before the employee begins.

Register before the first working day

For an already registered company taking on a new employee, the tax declaration is generally required at least one calendar day before work starts. Submit it in time and keep the confirmation. Do not wait for the first payroll.

One salary. Three different figures.

Be precise about salary. Gross pay, take-home pay and the employer's total cost are different figures. Employee deductions reduce take-home pay. Employer contributions add to the company's cost. Check the current minimum wage and the applicable contribution bases.

Build a payroll routine

Decide who calculates payroll, checks the figures, files the declarations and makes the payments. Employment tax and social and health insurance contributions need proper handling. Keep a payroll calendar and reconcile payment records with each declaration.

Plan the working week and leave

The normal working week is no more than forty hours. Annual paid leave is at least twenty-two working days for a full working year, proportionate for shorter service. Plan breaks, overtime and public holidays too; a contract cannot simply remove statutory rights.

Prepare more than a desk

A beautiful desk is only part of being ready. Assess workplace risks, provide the necessary safety information and training, and organise equipment and access. Explain internal rules clearly and keep the employment records up to date.

Check the right to work

If the employee is a foreign national, check the right to work before confirming the start date. Residence, employment approval and any applicable exemption need to be considered together. A signed employment contract alone does not settle immigration status.

Now the first day can begin

Back at our company, the agreement is ready, registration is confirmed, payroll has an owner and the workplace is prepared. Any immigration requirements have been addressed. Now the first day can begin with clear expectations on both sides.
